Set Up POS365 with Business Central – General Setup

This guide explains the complete initial setup of POS365 with Business Central. Complete the four detailed guides below in order and do not skip their required steps.

1 Obtain credentials for Business Central integration Collect the Business Central and Microsoft Azure information required for the integration.
2 Download Business Central extension & set up integration Install and configure the POS ONE Business Central extension.
3 Create and set up a new company in the Admin Center Create the company, connect Business Central, synchronize data, and configure the POS.
4 Download and set up the POS365 app Install POS365 and sign in to the cash register for the first time.

Step 1:
Obtain the Business Central credentials

Follow the Business Central credentials guide to:

  1. Register POS ONE Access in Microsoft Azure.
  2. Copy the BC Client ID.
  3. Create and copy the Client Secret.
  4. Add the API.ReadWrite.All Business Central application permission.
  5. Grant administrator consent.
  6. Collect the BC Tenant ID, BC Environment Name, BC Cloud Company Name, and BC Cloud Company ID.

Note:
The Client Secret cannot be viewed again after you leave its creation page. An administrator must grant consent if you cannot complete that action yourself.

 

Step 2:
Install and configure the Business Central extension

Complete every part of the Business Central extension and integration guide:

  1. Install POS ONE – POS365 BC Integration from Microsoft AppSource.
  2. Enable Allow HttpClient Requests for the extension.
  3. Create and enable the Microsoft Entra Application.
  4. Assign PON ALL PERMISSIONS and D365 FULL ACCESS.
  5. Configure POS365 Integration Setup [PON], including:
    • API hosting region
    • Domestic general business posting group
    • Default customer
    • General ledger journal
    • Loss/gain balancing account
    • Rounding balancing account
  6. Enable the required item categories and customer posting groups for POS365.
  7. Configure the POS currency, exchange rate, denominations, rounding, cash drawer account, and bank account.
  8. Create a Salesperson/Purchaser profile for the user who needs Admin Center access.

 

Step 3:
Create and configure the company

Follow the Admin Center company setup guide to:

  1. Create the company and select Cloud or On Prem Business Central.
  2. Select the required modules and number of POS licenses.
  3. Enter the Business Central credentials and select Validate.
  4. Complete both Initial synchronization actions described in the guide.
  5. Enable at least one location for POS use.
  6. Enable the required payment types.
  7. Create the cash register and assign its payment types.
  8. Configure currencies, company information, posting accounts, and journals.
  9. Configure employee permissions and set the employee’s POS password.

Note:
For an on-premises company, the Business Central URL must include http:// or https:// so that it matches the Business Central setup.

 

Step 4:
Install and sign in to POS365

Follow the POS365 app setup guide to:

  1. Install POS365 from Microsoft Store.
  2. Open the app and select the correct hosting region.
  3. Enter an email address that has access to the Admin Center.
  4. Select Send PIN and enter the temporary six-digit PIN received by email.
  5. Select the company, POS location, and cash register.
  6. Select the employee and enter the employee password configured in the Admin Center.

Result:
POS365 is connected to the configured Business Central company, and the employee can sign in to the selected cash register.
