How to use the Reconciliation Report
The Reconciliation Report helps you compare transaction information from POS365 with the corresponding information in Microsoft Dynamics 365 Business Central.
Use the report when you need to investigate a transaction, check whether information from POS365 has reached Business Central as expected, or identify the source of a difference between the two systems.
When should I use the Reconciliation Report? The report is particularly useful when:
- A POS365 transaction needs to be traced in Business Central.
- A sale or payment does not appear as expected in Business Central.
- An amount in POS365 does not appear to match the corresponding information in Business Central.
- You need to investigate which Business Central document is related to a POS365 transaction.
- You need additional information before investigating an issue directly in Business Central.
The report should therefore be considered an investigation and reconciliation tool rather than a replacement for the accounting and posting functions in Business Central.
1. Open the Reconciliation Report- Open the POS365 Admin Center.
- Open Reports.
- Select Reconciliation Report.
- Set the relevant filters for the transactions you want to investigate.
- Run the report.
Try to narrow the report to the transaction or period you are investigating. This makes it easier to compare the relevant POS365 and Business Central information.
2. Find the transaction you want to investigateLocate the relevant POS365 transaction in the report.
When investigating a specific transaction, information such as the following can help you identify it:
- Date
- Receipt or transaction number
- Cash register
- Customer
- Amount
- Payment information
You do not necessarily need all of this information. Use the information available from the receipt, POS365 or the reported issue to identify the correct transaction.
3. Start with the POS365 transactionOnce you have located the transaction, first verify what was registered in POS365.
The important question at this stage is:
Does the report show the transaction you expected from POS365?
Check the relevant transaction information and make sure you are investigating the correct sale or payment before comparing it with Business Central.
This gives you the POS365 side of the transaction as your starting point.
4. Compare it with Business CentralNext, review the Business Central information associated with the transaction.
The purpose is to determine whether the POS365 transaction can be matched with the expected information in Business Central.
Depending on the transaction and the information available in the report, this can help you determine:
- Whether corresponding Business Central information exists.
- Which Business Central document is associated with the POS365 transaction.
- Whether the amounts correspond with what was registered in POS365.
- Whether further investigation is required in Business Central.
The Reconciliation Report therefore provides the link between the transaction you see in POS365 and the financial information handled in Business Central.
5. Investigate a differenceIf POS365 and Business Central do not appear to match, do not immediately assume that the transaction is missing or has failed.
Instead, work through the transaction step by step:
POS365 transaction → Related Business Central information → Amounts/status → Business Central
For example, if a sale exists in POS365 but the expected result cannot be identified in Business Central, use the report to identify the related information first.
If the report shows the expected POS365 transaction but the Business Central information is missing or unexpected, the next step is to investigate the transaction in Business Central.
Likewise, if the amounts differ, first make sure that you are comparing the same transaction and corresponding Business Central document before investigating the difference further.
Important: The report does not perform correctionsThe Reconciliation Report is used to identify and investigate differences.
It does not change, repost or correct transactions in POS365 or Business Central.
If the report identifies an issue, any required correction must be handled in the appropriate system depending on the cause of the difference.
Using the report after a day closingThe Reconciliation Report is not an End of Day report, and End of Day is not a separate reconciliation function in the report.
However, the report can still be useful if a difference is discovered after a day closing.
For example, if accounting identifies a difference and you need to determine which POS365 transaction is related to a Business Central entry, the Reconciliation Report can be used to trace and compare the relevant transaction.
In this case, the day closing is the reason for the investigation — not something performed through the Reconciliation Report.
Exporting the reportIf you need to investigate the data further or share it with someone else, you can export the report using the available report export options.
The selected columns determine which information is included in the exported report.
For larger investigations, exporting the data can make it easier to sort and compare multiple transactions.
Recommended workflowWhen investigating a reconciliation issue, use the following approach:
1. Find the POS365 transaction
Confirm that you have identified the correct transaction.
2. Check the POS365 information
Verify what was originally registered.
3. Check the related Business Central information
Determine whether the corresponding information can be identified.
4. Compare the information
Check that you are comparing the same transaction, document and amounts.
5. Investigate the source of any difference
If something does not match, continue the investigation in POS365 or Business Central based on where the difference occurs.
The Reconciliation Report helps you identify where to investigate — it does not itself change the underlying transaction.
